FREQUENTLY ASKED QUESTIONS
Clear answers.
A confident next step.
What should I bring to the free Scale Session?
Bring the outcome you would like to achieve, a brief picture of your business and one example of a task or workflow. You do not need a technical brief or a complete list of solutions.
Is the Scale Session free?
Yes. The initial Scale Session is a free 30-minute conversation about your goals and a useful next step. Any further review, implementation or ongoing support is scoped and priced before paid work begins.
Can we start small?
Yes. One focused improvement can be a practical starting point. You can build on it as you see how it works and decide what your business needs next.
How long will the work take?
Timing depends on the agreed scope, the tools involved, the information available and the people who need to review it. We discuss timing as part of Your Plan to Move Forward.
Will you do the work, or do we implement it ourselves?
Your plan sets out which parts we configure or build, which decisions and information you provide, and what your team puts into everyday use. We agree the guidance, training and review required for that approach.
Do we have to take ongoing support?
You can discuss a focused project, ongoing support or a combination. The arrangement and any ongoing commitment are confirmed in your plan, so you can decide what suits your business.
Can the support extend to our brand or website?
Yes. Alongside systems, software and AI, we can explore ideal-client clarity, a practical brand kit, website reviews, updates or a new website. Any additional work is scoped and agreed around your goals.
Who can help me set up ServiceM8 in Australia?
Joel Farmer at Scale Your Service is an Accredited ServiceM8 Partner based in Australia. We provide practical online setup, workflow reviews, forms, training and mentoring for service businesses in Australia and worldwide, subject to platform availability and the agreed scope.
Can someone set up ServiceM8 for my business?
Yes. We can review the way your team handles enquiries, quotes, scheduling, job information and invoices, then configure an agreed starting workflow. Your Plan to Move Forward sets out the configuration, templates, forms, training, access and handover included.
How much does ServiceM8 setup cost?
Our entry-level software setup and handover is priced starting from AUD $995 plus GST where applicable. This covers basic configuration of one supported platform, one core workflow and a remote handover. Your ServiceM8 plan confirms the exact work and total; migration, extra forms, connections and subscriptions can add to the investment.
Can ServiceM8 integrate with Xero?
Yes. ServiceM8 offers a supported Xero integration. Approved invoices can be sent from ServiceM8 to Xero; invoices created in Xero do not sync back into ServiceM8. We can help configure and test the agreed connection, tax settings and invoicing workflow. Accounting decisions remain with you and your accountant.
Can I get help improving an existing ServiceM8 account?
Yes. We can review your current account, quoting workflow, queues, forms, templates and customer communication, then agree useful improvements. You can start with a focused review rather than replace a setup that already works for your team.
Can you help with recurring jobs and customer follow-up?
Yes. We can help plan repeat-service workflows, recurring jobs, reminders and approved follow-up sequences using the features and add-ons available to your account. We agree triggers, responsibilities and review steps before making changes.
Do you provide ongoing ServiceM8 support and mentoring?
Yes. You can choose monthly, fortnightly or weekly mentoring to review progress, work through decisions and plan next steps. Hands-on implementation and technical support have their own agreed scope. Mentoring requires 30 days’ cancellation notice and is invoiced after each agreed 30-day service period.
Is ServiceM8 your only platform, and do you only work in Australia?
ServiceM8 is one specialist offering within our wider business systems, software and AI support. We work online with service-based businesses worldwide and assess the tools, account availability, connections and expertise each project needs.
What’s included
One 60-minute workshop, one practical ideal-client profile, priority needs and key messages, with one revision.
What we can help with
Practical help with larger websites, including five-page business sites, blogs, service pages and improvements to an existing site. We shape the work around your goals, content, platform and the support you need, from a focused update to a larger build. Price on application. Your Plan to Move Forward confirms the pages, features, revisions, launch support, responsibilities, timing and total investment before paid work begins.
What does ‘starting from’ mean?
Each starting price covers the scope described here. More pages, extra workflows, complex connections, additional revisions or migration can change the investment. Your Plan to Move Forward confirms the total before paid work starts.
What happens after my landing page is built?
You receive two consolidated rounds of revisions in total, plus one check each week for four weeks after launch. Each weekly check is capped at 15 minutes including a brief crawl of the original landing page, a Google crawl/indexing status check and a short email with findings and suggested next steps for your review. The four checks total up to 60 minutes, including emails. These checks cover review and reporting only. After your approval, small changes to the original page and its existing sections can use any remaining included revision rounds; additional work is agreed separately. New pages, extra sections and redesigns are separate. Search Console access is needed for Google checks. Google controls indexing and rankings.
Which currency are the prices in?
All prices on this page are in Australian dollars (AUD), excluding GST where applicable. We work with service-based businesses worldwide and confirm currency, applicable tax and payment arrangements in your plan.
Can I start with one small improvement?
Yes. A profile refresh, a website review, a form or one mentoring session each month can be a useful starting point. We can build on it as your priorities develop.
Is implementation included in mentoring?
Mentoring includes your scheduled sessions, written next steps and the stated email support allowance. Hands-on work such as building a website, configuring software or creating an automation has its own agreed scope and price.
How are fortnightly and weekly sessions scheduled?
Fortnightly means one session every two weeks and weekly means one each week. You receive your agreed sessions during each 30-day service period and are invoiced at the end. The exact session dates follow your agreed calendar rhythm. Catch-up times for missed or rescheduled sessions depend on Joel’s calendar availability.
Are software and advertising costs included?
Software subscriptions, API usage, SMS, ad spend, domains, hosting and paid assets are separate unless your plan explicitly includes them. We identify relevant third-party costs when scoping the work.
How do mentoring cancellations and project deposits work?
Mentoring requires 30 days’ cancellation notice. Invoices are issued after each agreed 30-day service period. Missed or rescheduled sessions can be caught up at an agreed time, subject to Joel’s availability. One-off work is invoiced before completion. Larger projects require a deposit; the amount and remaining payment milestones are confirmed in your plan.
Can you support us after a project?
Yes. We can agree training, mentoring or ongoing technical support around what you need. Technical support has its own responsibilities, service hours and inclusions, confirmed in your plan.
Do I need to know which package to choose?
No. Bring the outcome you would like to achieve to a free 30-minute Scale Session. We can explore a useful starting point together.
What is the difference between AI and automation?
Automation follows defined instructions, such as sending an approved reminder when a booking approaches. AI can help work with language or information, such as preparing a message draft. A useful workflow may use either or both, depending on the task.
Can we use the software we already have?
We start with your existing tools and how your business works. We assess supported features and connections before recommending a change. Any additional subscriptions or integration costs are identified as part of your agreed plan.
Can this help with repeat bookings and recurring revenue?
We can explore sequences that invite customers to book their next service, renew an agreement or discuss ongoing support. The approach depends on your offering, customer needs and available information. Customers still choose whether to proceed.
Does AI send messages or make decisions on its own?
Only where an appropriate action has been specifically agreed and configured. We define which steps can run automatically, where AI assists and which drafts or decisions need a person’s approval. There is no assumption that every step should be automated.
What happens when a customer replies or books?
We design the sequence around the customer’s next step. Where the connected tools support it, a reply, booking or change in status can pause or stop scheduled messages and direct the conversation to the appropriate person. We confirm and test that behaviour before relying on it.
How do we get started?
Choose one outcome you would like to achieve and bring an example of the relevant task or workflow to your free Scale Session. Your Plan to Move Forward then confirms the scope, responsibilities, investment and any software requirements before paid work begins.
